Sales Assistant - Executive Assistant Position

We’re now hiring for a Sale and Marketing Assistant/Executive Assistant at Otero Signature Homes in Chagrin Falls, OH.

Otero Signature Homes, a growing high-end custom home builder focused exclusively on residential renovations and new homes.

This is a fantastic opportunity to join an awesome company and supportive team! We’re looking for an energetic self-motivated full-time Sale and Marketing/Executive Assistant to join our team! Applicant should be experienced in all aspects of Sales and Marketing and be able to handle high level executive assistant responsibilities and will work closely with ownership to perform a variety of task.

Pay: $50,000 plus bonuses -  negotiable based on experience 

Typical day in the life as a Sales and Marketing/Executive Assistant :

  • Manage and maintain executives' schedule on a weekly basis.  
  • Assist and Attend client sales meetings with all necessary documentation requested by conducting research, and gathering required information.
  • Event planning for team building, customer and contractor appreciation events and quarterly office meetings.
  • Maintain the CRM database in Buildertrend.  Follow up with clients as needed.
  • Coordinate, maintain and update marketing materials as needed.
  • Maintain social media and website with up to date photos and information with assistance from SEO contractor.
  • Offer creative suggestions for improving and implementing marketing.
  • Coordinate and research real estate properties via Auditor web pages and MLS to properly prepare for sales meetings.
  • Complete Buyer and/or Seller packages accurately and follow through with title transfer and bank.
  • Complete Otero Portfolio and Ovation Portfolio continuously throughout the year.
  • Coordination and reporting of Guild Quality surveys and results. Reports results to management.
  • Compose and prepare correspondence that is sometimes confidential; arrange travel plans, itineraries, and agendas 
  • Coordinate Events throughout the year with Ownership. 

What are we looking for?

  • Infectiously positive, personable and an expert level communicator with the ability to maintain rich and productive relationships with others 
  • Tech savvy; up to date with the latest office gadgets and applications and able to navigate new systems quickly
  • Must be proficient in Word, Excel Outlook and PowerPoint. Additional computer program knowledge including any graphic design is beneficial. 
  • Intelligent, both emotionally and traditionally and always ready to tackle a to-do list without prompting.
  • A polished and prompt presentation in all types of communication and interactions
  • Quick personal productivity with the ability to keep up with the best and brightest in our company!
  • Real Estate License is preferred but not a requirement
