Manager:
Office
&
Administrative
Management
-
Manage
front
desk
operations:
greet
clients
and
guests,
answer
phones,
and
maintain
a
professional
office
environment.

Coordinate
executive
calendars,
conference
room
reservations,
and
design
center
schedules.

Organize
incoming
emails,
mail,
packages,
and
deliveries,
route
to
the
correct
team
members.

Oversee
office
supplies,
equipment,
and
filing
systems.
Executive
&
Team
Support
-
Provide
direct
assistance
to
leadership:
prepare
itineraries,
meeting
agendas,
and
presentations.

Coordinate
company
meetings
and
events,
including
quarterly
all-company
meetings
and
annual
celebrations.
-
Assist
with
project
management
tracking
in
Buildertrend
and
ensure
CRM
accuracy.
-
Coordinate
client
and
subcontractor
gifts,
cards,
and
seasonal
appreciation
efforts.
Client
&
Project
Support
-
Prepare
conference
rooms
for
client
meetings
with
a
focus
on
hospitality.
-
Support
contract
signing
and
onboarding
processes
with
accurate
documentation.
-
Manage
buyer/seller
packages,
closing
binders,
and
project
files.
-
Oversee
Guild
Quality
surveys
and
client
testimonial
follow-up.
Qualifications:
-
Experience
in
office
management,
executive
support,
or
administrative
leadership
(construction,
architecture,
or
luxury
services
preferred).
-
Strong
organizational
and
time
management
skills
with
the
ability
to
handle
multiple
priorities.
-
Proficiency
in
Microsoft
Office
Suite;
experience
with
Buildertrend
or
similar
software,
CRM,
and
graphic
design
programs
preferred.
-
Excellent
communication
skills,
both
written
and
verbal.

with
