This is a fantastic opportunity to join an awesome company and supportive team! We’re looking for an energetic self-motivated full-time Estimating/Purchasing Coordinator to join our team! Candidates should have experience in residential or commercial construction.

Job Posing Summary

The Estimating / Purchasing Coordinator supports the pre-construction, design, and operations teams by assisting with project estimating, subcontractor bidding, and material purchasing for residential custom home projects. This role also collaborates closely with the internal design team to track and price project selections, ensuring both construction and furnishing components are accurately reflected in project budgets and procurement schedules.

The ideal candidate is detail-oriented, organized, and comfortable working with construction drawings, spreadsheets, and vendor communications in a fast-paced custom home building environment.

 

Key Responsibilities

Estimating Support

  • Assist with reviewing architectural plans, specifications, and construction documents.
  • Perform quantity takeoffs for materials and subcontractor scopes of work.
  • Support the development and updating of project budgets and cost estimates.
  • Compile subcontractor and supplier bids for comparison and review.
  • Maintain estimating templates, cost databases, and historical pricing records.

Purchasing & Procurement

  • Help prepare purchase orders for project materials, fixtures, finishes, and furnishings.
  • Coordinate with vendors and suppliers to confirm pricing, availability, and delivery schedules.
  • Assist with procurement of long-lead materials and specialty items.
  • Track purchase orders and maintain purchasing documentation.

Design Team Coordination

  • Work closely with the internal design team to review and track client selections for both construction finishes and furnishings.
  • Assist in pricing design selections and confirming costs with vendors and suppliers.
  • Ensure selected materials, fixtures, and furnishings align with project budgets and allowances.
  • Maintain selection logs and update project budgets based on final design decisions.
  • Coordinate ordering timelines for design-driven items to align with construction schedules and installation phases.

Subcontractor & Vendor Coordination

  • Distribute bid packages to subcontractors and suppliers.
  • Communicate with vendors to obtain quotes, clarify scopes, and resolve discrepancies.
  • Maintain vendor contact lists and subcontractor records.
  • Assist in maintaining subcontractor agreements and insurance documentation.

Budget & Project Support

  • Assist in tracking project costs against budgets.
  • Support change order pricing and documentation.
  • Help update project management systems with current cost, selections, and purchasing information.
  • Work closely with project managers, field staff, and designers to ensure purchasing aligns with construction schedules and project milestones.

Qualifications

  • Associate’s or Bachelor’s degree in Construction Management, Business, Engineering, Interior Design, or a related field preferred.
  • 1–3 years of experience in residential construction, estimating, purchasing, interior design support, or construction administration preferred.
  • Ability to read and interpret construction drawings and specifications is a plus.

Skills & Competencies

  • Strong attention to detail and organizational skills.
  • Proficiency with spreadsheets and data management (Microsoft Excel or similar).
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Basic understanding of residential construction methods, materials, and interior finish selections.
  • Experience with construction or design management software (e.g., Buildertrend, CoConstruct, Bluebeam, or similar) is a plus.
